Wellforce: Lead medical records clerk


This is a Full-time position in Boston, MA posted June 14, 2020.

Position Schedule; Sat-Sun 7am-7pm, Mon-Tue 8:30-5pm This position provides a lead function in the Health Information Management Department and other areas as may be required.

Schedules and reviews daily workflow, which includes re-filing of patient charts, pulling charts requested for research, audits, and interdepartmental use and special projects.

Responsibilities; Performs monthly quality audits and reports to the Department manager with the results.

Coordinates the record purge process each month and notifies the department with a monthly update.

Maintains statistics on work processed for analysis and use in various reports.

Performed Medical Record Merges based on departmental policy.

Answers walk-in and telephone requests for charts.

Inquires regarding discharge summaries and dictation procedures.

Correspondence requests (primarily information for treatment of patients being seen in other facilities).

Activates charts.

Conducts search for problem charts.

Assists the Coding and Operations Manager in implementing systems and policies and controls various departmental functions.

Ensures all departmental policies are followed.

Ensures that all computer programs for the Tracking System pull lists are adequate and functioning properly.

Manages and coordinates employee time system function.

Ensures that time is accurately entered and supports the time keeping policy.

Performs other similar and related duties as required or directed.

Qualifications; Level of knowledge generally obtained through completion of high school.

Some formal Medical Record training highly desirable.

Strong clerical skills required with knowledge of Terminal Digit Filing and CRT usage.

Performance of duties requires knowledge and constant use of computer systems and dictation equipment.

One to two years of experience in a high volume files department with six months supervisory experience.

Works in a cramped file area, which is poorly lit and ventilated.

Standing and walking most of the shift with some lifting of medium weights and working in a strained or awkward position.

Frequent contact with physicians, house staff, and emergency room and unit staff.
